Formatting software guide
What to look for in KDP paperback formatting software
Formatting software should reduce production uncertainty. A beautiful editor is not enough if its downloaded PDF uses the wrong page dimensions, fails to embed fonts, or previews something different from the exported file.
The most important features are an exact print-PDF preview, page-count-aware inside margins, supported trim sizes, embedded fonts, clear chapter controls, and a final preflight report. The tool should also state what manuscript elements it cannot preserve.
Essential print controls
Paperback formatting is physical layout. The software must know the width and height of each page, distinguish the inside binding edge from the outside edge, and recalculate the book after typography changes.
- Exact trim dimensions
- Mirrored margins
- Page-count-aware gutter
- Font embedding
- Front-matter controls
- Correct single-page PDF export
Preview accuracy matters
Some editors show a representative mock page that does not share the export engine’s pagination. A better workflow renders preview pages from the same PDF generation process used for download. This exposes blank pages, short chapter endings, and page-number placement before upload.
Privacy and ownership
Unpublished manuscripts may contain commercially valuable or sensitive material. Authors should understand whether a service uploads files, stores them, uses them for model training, or processes them locally. Typeset Ready performs manuscript reading and PDF creation in the browser.
- Look for a clear privacy explanation
- Keep the original DOCX backed up
- Avoid tools that make unclear ownership claims
- Download and retain the final PDF independently
Know the limitations
No formatter is appropriate for every book. Text-first software works well for novels and straightforward nonfiction but may not support workbooks, cookbooks, textbooks, children’s books, complex tables, or image bleed. Clear limitations are a product feature—not a weakness.
Common questions
Frequently asked questions
Is browser-based formatting less accurate than desktop software?
Not necessarily. Accuracy depends on the export engine and validation. Typeset Ready renders its preview from the same PDF process used for download.
Does formatting software replace proofreading?
No. Formatting controls layout and presentation. Editing, proofreading, fact-checking, and permissions remain the author’s responsibility.
Should I upload the PDF without checking it?
No. Always inspect the PDF and complete Amazon’s Print Previewer before publishing.
